RSIC BlackBox
RSIC BlackBox™ is singular and powerful solution for mileage, time and
expense tracking, using a single BlackBerry® application. BlackBox uses a simple
project based structure and efficiently uses the BlackBerry smartphone's
features, allowing users to easily register the expense they make, track their
mileage and register their time based activities. The application even offers
the possibility to make project related costs, revenue, profit and loss visible.
Besides these extensive functions, BlackBox comes with one additional
feature: location tracking of BlackBox users, allow organizations to keep track
of the location of their mobile personnel.
Remote Configuration Possibilities
For easy usage of RSIC BlackBox
with larger user groups, RSIC offers the possibility to configure the
application by either using custom BES policies or using the web-based Remote
Policy Configurator tool. These options allow administrators to fully control
the application settings and behavior on individual devices, which is essential
for efficient usage in a large user population.

Mileage tracking
When using BlackBox for tracking
mileage, users have the option create either manual or automatic entries. For
automatic entries, the application starts its GPS odometer, using the BlackBerry
smartphone's built-in GPS antenna or an external Bluetoot GPS antenna. When
arriving at his/her destination, the user presses a button, adds an optional
desription and comments and saves the data securely on the device, ready to be
reported when the user wants to.
Time tracking
Keeping track of time has never been this easy: with
a press of a button, BlackBox can start a timer that can run in the background,
allowing users to still use their BlackBerry smartphone for all purposes. When
done with the work at hand, the user presses another button and indicates
whether the particular entry is billable or not. BlackBox' time registration
functions are ideal for consultants, project managers, project workers, lawyers
or anyone else who needs to keep track of their time for administrative or
billing reasons. BlackBox even assists in making project related costs and
revenues visible, by allowing entry of hourly costs and billing rates and making
all related calculations available for reporting.
Expense and cost tracking
BlackBox' expense tracking features are
ideal for keeping track of billable and non-billable expenses. Users can now
simply store them on their BlackBerry and report them, together with their
mileage and time data. A simple but powerful solution for any mobile user
regularly making business expenses.
Route tracking
BlackBox offers easy registration of the exact
movements of the end-user in industry standard GPX or KML formats. These formats
allow for easy visualization of the recorded route on geographical information
systems such as Google Maps or other solutions, but also are easily processed
for other purposes.
Location tracking
As an added function, BlackBox offers a
straightforward and low-cost location tracking function. When turned on, the
application sends out an E-mail containing the current location of the user to
one or multiple E-mail addresses. The time interval that E-mails are sent at is
configurable to the minute. Every location tracking E-mail contains a Google
Maps and a BlackBerry Maps link, allowing the recipient(s) to quickly view the
user's current location. Additionally, the E-mail contains XML data with the
current location details, allowing for easy processing into any backend system,
for a multitude of applications.
RSIC can supply organizations that use BlackBox with a powerful and low-cost
dispatching system, allowing organizations to see, among other things:
- The last known location of their mobile users or their location at a
specific time.
- The mobile users nearest to another mobile user.
- The mobile user nearest to a specified address.
This web-based solution is ideal for easy and efficient management of
organization members in the field and for efficient direction of mobile users to
specific locations.
Reporting
BlackBox comes out of the box with extensive reporting
functions. With over 30 fields that can be included in reports, varying from
costs and revenue to profit and loss made on a specific activity, as well as the
currency used, the applicable timezone and much more. Standard reports are
available in either .csv (comma separated) and .xls (Excel HTML format). Besides
these formats, RSIC BlackBox offers reports in PDF format. Reports in PDF format
have the appearance of invoices, so they can be easily sent to customers or
clients for overview or reporting purposes. All GPS coordinates displayed in PDF
reports are clickable and use Google Maps to display the exact location of the
particular coordinate. These formats allow for easy processing of the data into
back-end system and, if required, RSIC kan deliver further solutions for
this.
Customization and integration
RSIC is able to adapt and customize
BlackBox at low cost to any specific situation. For larger volumes of licenses,
these adaptations can even be done without additional costs. Possiblities range
from linking BlackBox to your (project) administration system, ERP or GIS
